Client Review Platform (“CRP”, “we”, “us”) is a service of 40 Degrees Media, LLC, 20 E William St., Delaware, OH 43015. This policy explains what information we collect, how we use it, and the choices you have. It covers clientreviewplatform.com, our member dashboard, the review pages we host for our members, and our review widget.

Who this policy is about

• Members: businesses that sign up for CRP.
• Customers of our members: people who visit a member’s review page, fill out a feedback form, or receive a review request email.
• Website visitors: anyone who visits clientreviewplatform.com or a website that shows our review widget.

Information we collect

From members

• Account and business details: your name, email, phone number, business name, mailing address, website, logo, brand color and review site links.
• Billing details: payments are processed by Stripe. We see your plan, billing status and the last digits of your card, but we never see or store your full card number.
• Customer contact lists you give us: names and email addresses of your customers, so we can send review requests for you.
• Google Business Profile access (Plus plan, optional): if you add us as a manager on your profile, we can read your reviews and, if you turn it on, post graphics to your profile.

From your customers

• Private feedback: if a customer fills out the feedback form, we collect what they enter (such as name, email and message) and share it with the member.
• Email activity: we record whether a review request was sent, whether a reminder was sent, and whether the person unsubscribed.

Page visits and clicks

Review pages count visits and which review site buttons are clicked, so members can see how their page is doing. To avoid counting the same visit twice, we briefly use a scrambled (hashed) version of the visitor’s IP address for 30 minutes. We do not store IP addresses, and we do not use advertising or cross-site tracking cookies on review pages. Members who log in use standard WordPress login cookies.

Public Google information

We use Google’s Places API to show a member’s public Google rating and reviews in their dashboard, reports, social graphics and review widget. These reviews are public information published by Google. Our use of Google data is subject to the Google Privacy Policy and Google Maps Terms of Service.

How we use information

• To build and run your review page, dashboard, widget, reports and social graphics.
• To send review requests and one reminder on a member’s behalf, and to honor unsubscribes.
• To process payments and manage subscriptions.
• To provide support, keep the service secure and prevent abuse.
• To tell members about changes to the service.

We do not sell personal information, and we do not use members’ customer lists for our own marketing.

Members’ customer data

When a member gives us their customers’ contact details, we process that information on the member’s behalf and only to provide the service. The member is responsible for having the right to contact those customers. Every review request email includes an unsubscribe link, and we stop sending to anyone who unsubscribes.

Google user data

If a member connects their Google Business Profile, our use of information received from Google APIs follows the Google API Services User Data Policy, including the Limited Use requirements. We use that data only to show reviews, suggest replies and post content the member has turned on. We do not sell it or use it for advertising. A member can remove our access at any time in their Google Business Profile settings.

Who we share information with

We share information only with service providers that help us run CRP, and only as needed:

• Stripe (payments)
• Mailgun (sending email)
• BigScoots and Cloudflare (hosting, security and speed)
• Google (Places API and Google Business Profile)

Private feedback is shared with the member it was meant for. We may also share information if required by law, or to protect our rights, our members or the public.

How long we keep information

We keep member information while the account is active. After an account is closed, we delete or anonymize member data and customer lists within 90 days, except records we must keep for tax, billing or legal reasons. Unsubscribe records are kept so we keep honoring them.

Your choices

• Members can update their information in the dashboard, or ask us to delete their account.
• Anyone can unsubscribe from review request emails with the link in the email.
• Customers can ask us to delete feedback they submitted, or ask what information we hold about them, by emailing us.

Security

We use encrypted connections (HTTPS), security monitoring and limited access to protect information. No system is perfectly secure, but we work hard to keep your data safe.

Children

CRP is a service for businesses. It is not meant for children under 13, and we do not knowingly collect their information.

Changes to this policy

If we make important changes, we will update the date at the top and let members know by email.
